We are looking for a PA and Office Manager to join our Group People team based in Battersea on a part time basis, working 20 hours per week across 5 mornings (4 hours per day). You’ll be reporting to the Head of People Operations (Europe), playing a key part in ensuring the smooth day to day running of the office, as well as supporting the Group People Director and senior People Team with any PA responsibilities.

A typical day in this role includes:

  • Diary and travel management for the Group People Director, supporting with travel and hotel bookings for business trips throughout Europe
  • Scheduling and coordinating high level meetings with participants from across Europe and Asia
  • Booking and tracking annual leave for the senior People Team, People Directors and Business Unit Heads across Europe
  • Preparation and processing of expense claims, distribution of organisational announcements, and other ad hoc administrative tasks
  • Being the primary contact for any general enquiries or requests from PAs across the business
  • Being a friendly, welcoming face of the office, meeting and greeting guests
  • Generally the go to person for any office related queries or arrangements, making sure it is a great place to be!
  • Maintaining office supplies and managing the office budget, booking couriers, managing post and deliveries, and redirecting as necessary
  • Supporting with any travel related queries, and ensuring colleagues are set up on our travel management system
  • Ensuring maintenance of all IT and A/V equipment in the office, liaising with IT team on resolving any issues
  • Keeping the office tidy and liaising with the buildings maintenance team to ensure the facilities are in good working order
  • Working with the wider People Team to help coordinate events in the office e.g. Town Hall meetings, fundraising/wellbeing events
  • Fire Marshall for fire drills/emergencies

What you’ll need:

  • Experience in a similar role, PA experience is essential with travel and calendar management responsibilities
  • A excellent communicator at all levels
  • Extremely well organised, with the ability to prioritise multiple tasks and work at a fast pace at times
  • A self starter, happy to work autonomously as well as in a team
  • Strong IT skills in MS applications
