Role Purpose:
As Senior Receptionist, you are responsible for supervising 3 other Receptionists on a daily basis, to maintain a professional image of A.S. Watson Group.     Major role is to ensure that the reception unit runs efficiently, and that all reception duties are attended to.     

A typical day in this Role: 

  • Coordinate the activities and roster of the Reception Team
  • Meeting & greeting guests in Reception, determine nature of business, and announces visitors to appropriate personnel, monitor visitor access and maintains visitor access card.
  • Managing our PABX switchboard and ensure every phone call is handled in a courteous and professional manner.
  • Prioritize calls, determine purpose of calls, and forward calls to appropriate personnel or department.
  • Update conference room booking calendars and handling name card printing
  • Receives, sorts and routes mail and publications, handling courier invoices & payment
  • Responsible for arranging couriers, ensure the efficient processing of incoming and outgoing mails.
  • Provide administrative support like scheduling meeting room, printing of name card and assist Office Services Department when needed
  • Follow up on loaned access cards to make sure all are returned and contact Security if card is not returned by the end of the day.
  • Maintain the reception area (Ground Floor & Executive Floor) in a neat and orderly fashion to include visitor reading materials
  • Provide support according to the directives the Office Services Manager.

 What we look for:

  • Higher Diploma or above in Business Management/ any Business-related major is preferred
  • Good command of English and native Cantonese
  • Knowledge of standard procedures and practices in an office\
  • Strong verbal & written communication skills with people across many functional areas
  • Ability to flow well with visitors to the office, and also to maintain a cooperative relationship with other colleagues
  • Ability to work effectively and to multitask in a high traffic, high visibility area
  • Creative thinking and problem-solving skills
  • Ability to understand and keep to instructions, whether oral or written
  • Proficient with Microsoft Office, including Words, Excel & Outlook
